Overview: 

The Assistant Student Financial Services Manager reports directly to the Student Financial Services Manager. They assist with the oversight of student financial aid processing, billing and accounts receivable on their assigned campus. This position works  very closely with colleagues on the larger Student Financial Services team, playing  a central role in providing a seamless customer service experience for Stratford University students and ensuring the integrity of student financial records at the campus. This position provides daily assistance to the student account officers via training and other support functions to ensure all related functions are performed to established Stratford University standards.

Functions

Essential Job Functions:

  • Perform the function of a student account officer by providing extensive advising to students and parents on financing options, aid eligibility, cost of attendance, financial aid policies and procedures via direct meetings, presentations, e-mails, telephone calls and other communication methods.
  • Assume a leadership role in assisting the Manager- Student Financial Services in processing of student financial aid and other business office functions continuously improve financial operations and coordinate closely with the Manager of Student Financial Services to ensure a seamless, high level of customer service for colleagues, and students
  • Monitors student accounts to ensure adequate payment arrangements are made to cover balances including financial aid, VA and cash payments and following up on payment plans .Process documentation to ensure that each student has funds to pay for tuition and follow up on balances owed when student leaves the University without an adequate payment plan.
  • Regularly reviews incomplete files to ensure that funds are only disbursed when student is eligible and work with packaging team to resolve issues affecting flow of inventory
  • Monitors expected and past due cash flow to ensure that funding is disbursed as appropriate and in a timely manner.
  • Remains abreast of loan default management strategies and counsels potential and current borrowers accordingly
  • Assists with the establishment of policies and procedures to ensure positive, effective and open relationships with all clients of the Student accounts Office including students, parents, faculty and administrators.
  • Assesses the necessary services required to resolve the student inquiries/issues and provides specific point of contact referrals for students requiring additional support from other offices.
  • Represents the Student Accounts Office at all Student Orientations by providing information concerning department policies, procedures and programs
  • Coordinate the daily accounting functions in the Office of Student Accounts, including cash and credit card payment reconciliation and other student financial record maintain ace.
  • Assist Manager of Student Financial Services with refund processing, RTP and other student financial services related issues.
  • Responsible for reviewing registration request and approving same for continuing and prospective students and working effectively with the enrollment team.
  • Review and disposition workflow assignments in a timely and efficient manner compliant to Stratford University policies.
  • Other duties as required.

Qualifications

The Skills:

  • Proven customer service excellence; the ability to successfully build strong working relationships with customers, various departments, and staff.
  • Demonstrated high accuracy and productivity in financial aid  file submissions
  • Proven ability to utilize metrics; able to produce results.
  • Proficient with the electronic processing of student applicant financial planning process using specialized enrollment software focus on process logistics to handle high volume of files more efficiently.
  • Ability to read, comprehend, and comply with federal and state laws, regulations, and policies pertaining to the provision of student financial aid.
  • Ability to work without close supervision and to set one's own priorities and work schedule.
  • Maintain a thorough understanding of all Stratford University Finance programs, policies and procedures.
  • Maintain a detailed understanding of federal, state financial aid guidelines and laws while ensuring that all staff members are as well.

Required Education and Experience:

  • Bachelor’s degree
  • 2 years’ experience with Federal Title IV programs and administration
  • Demonstrated experience in coordinating activities of a student account office in an efficient manner.
  • 3 years of experience in finance or similar field in a post-secondary institution
  • Demonstrated ability to multi task and meet deadlines.
  • Minimum of 2 year experience using financial aid software as powerfaids
  • Ability to objectively evaluate a student’s eligibility for assistance.
  • Functional knowledge and ability to apply appropriate advising techniques.
  • Previous leadership and management experience preferred

 

Work Environment and Physical Demands:

  • This position will be in a University Campus setting. And will require sitting, standing, walking, and the ability to carry up to 15 pounds, with or without assistance of office equipment.
  • Will require sitting for long periods of time.
  • Will require availability to work evenings and weekends
  • May require prolonged periods of utilizing a telephone, and looking at a computer screen
  • May require long hours, to provide support to campus student accounts teams.
  • Local travel to University Administration, Meetings, Conference and other local campuses may be required.
