Overview: 

The Student Financial Services (SFS) Quality Assurance Specialist is heavily engrained in supporting the campus Financial Aid Office. The quality assurance specialist supports the campuses by reviewing documentation submitted by campuses to support student financial aid application, ensuring application meets all applicable financial aid processing requirements as established by Department Of Education and Stratford University. The SFS Quality Assurance Specialist advance the processing of student financial aid file by entering appropriate data in financial aid system and submitting approved documentation to University auditor in proper form for final approval to allow for certification and disbursement of federal student aid. This position ensures the timely determination of student eligibility for financial aid and assists in the administration of all phases of the financial aid process. Attention to details and the integrity to follow all federal, state, institutional, and external financial aid programs guidelines is a requirement. .

Functions

Essential Job Functions:

  • Responsible for centrally processing a high volume of Title IV financial aid applications for multiple campuses according to federal guidelines or regulations, performing needs analysis calculations according to guidelines and within established timeframe in accordance with required quality controls.
  • Accesses and consults resources on financial aid issues and policies through attending internal and external training sessions. Utilizes the Federal Student Financial Aid Handbook, other resources to insure accuracy and compliance. Attend national and regional conferences.
  • Develop, negotiate and finalize student financial plans consistent with financial planning policies and procedures and with Federal/State regulations for awarding aid.
  • Review ISIR and ISIR corrections electronically, and provide guidance to campus staff in resolving applicable errors.
  • Verify accuracy of documents and consistency of data sent by campus student account officer, federal tax returns, transcripts, verification documents and student information.
  • Proactively identify students needing to be repackaged for future financial aid awards, determine readiness for packaging and complete processing for readied files or provide appropriate notification to campus staff about files lacking readiness
  • Coordinate with corporate trainer, to identify patterns of incorrect document submission to ensure administration of appropriate training at campus level to reduce future processing errors.
  • Enter appropriate notes in financial aid information system and student information system concerning status of financial aid packaging to ensure campuses remain abreast of processing status and issues to be addressed.
  • Proactively assess financial aid records to determine changes needed to awards and assist campus staff in making appropriate adjustments.
  • Periodically review assigned campus financial aid inventory and work collaboratively with campus staff to address issues and reduce number of files not approved.
  • Monitor the progress of financial aid packaging for assigned campuses and collaboratively develop strategies for timely completion with student account manager.
  • Serve as auxiliary financial aid auditor responsible for auditing financial aid files and participating in internal audit process to determine campus ongoing compliance to established institutional processing standards.
  • Maintain consistently clean files shown through training and assessments ensuring compliance with Federal/State regulations, school policies and procedures.
  • Meet productivity targets including less than a 10% reject rate per quarter and 80% file completion by end of quarter and meeting specific targets for repacks and new start packaging.

  • Proficient with the electronic processing of student applicant financial planning process using specialized enrollment software focus on process logistics to handle high volume of files more efficiently.
  • Ability to read, comprehend, and comply with federal and state laws, regulations, and policies pertaining to the provision of student financial aid.
  • Ability to interact effectively as a member of a team and work collaboratively with other departments.
  • Ability to analyze situation and take corrective action; effectively use information and web-based applications; assume responsibility and initiative to prioritize emerging issues, handle concurrent objectives and meet deadlines; and establish and maintain effective working relationships within a diverse academic environment.
  • Ability to work without close supervision and to set one's own priorities and work schedule.

Qualifications

Required Education and Experience:

  • Must possess a bachelor's degree and 3-5 years of recent experiences in financial aid processing.
  • Experience with Return to Title IV calculations
  • Must possess extensive knowledge of financial aid regulations including verification process and hands on knowledge of crossover funding issues.
  • Working knowledge of all Federal Title IV systems and reports.
  • Demonstrate proficiency in timely and accurate awarding.
  • Demonstrated knowledge of recent financial aid processing requirements.

 

Work Environment and Physical Demands:

  • This position will be in a University Campus setting. And will require sitting, standing, walking, and the ability to carry up to 15 pounds, with or without assistance of office equipment.
  • Will require sitting for long periods of time, in addition to standing, kneeling, and walking through the campus on a regular basis.
  • Will require availability to work evenings and weekends
  • May require prolonged periods of utilizing a telephone, and looking at a computer screen
  • May require long hours, to provide support to campus student accounts teams.
  • Local travel to University Administration, Meetings, Conference and other local campuses may be required.
  • May require local travel up to 25% of the time.
