Overview: 

The Administrative Assistant, School of Nursing is like the air traffic controller for the multitude of administrative tasks and functions supporting the operations, academics and University Program Director of Nursing.  You are a great team player, leader, organizer and facilitator.  Reporting directly to the University Program Director of Nursing you will work independently performing a wide range of complex and confidential administrative and clerical support duties with significant impact on the School of Nursing operations.  You monitor, manage and ensure that all loose ends at Stratford’s School of Nursing are promptly and equitably handled and you are the “backbone” of the department. The role may require you to be the customer relations liaison between staff, faculty, students, vendors and customers

Functions

Essential Job Functions:

  • Work with University Administration, peer institutions, the community and prospective students in the critical areas of recruitment, retention and placement.
  • Foster an environment of teamwork, collaboration and cooperation while creating a shared vision for the School of Nursing.
  • Organize and prepare meeting minutes, and coordinate appointments and calendars
  • Welcome and resolve problems, questions, concerns and issues effectively
  • Communicate with customers proactively and cooperatively
  • Participate in administrative management
  • Prepare and revise presentations, reports and other documents
  • File loose forms in student records
  • Set up and maintain nursing student progression plans in computer hard drive and hard copy’s.
  • Organize student folders.
  • Type up nursing equipment and supply invoices.
  • Answer nursing department phone when faculty are teaching.
  • Serve as receptionist –Schedule appointments for students with nursing administration and faculty, greet walk-in students and those with appointments.
  • Plan nursing events – pinning ceremony and advisory board (PAC) meetings– which includes sending out invitations, setting up event, and ordering food and decorations
  • Set-up and plan adjunct faculty orientations – ordering of food, reserving rooms, and sending out invites
  • Maintain on-going inventory of office supplies for all nursing campus sites
  • Input clinical hours for VBON report quarterly reports.
  • Assist in preparation and file in notebooks the Virginia BON quarterly NCLEX reports
  • Record minutes at each nursing meeting and send out for review to the committee chairperson.
  • Maintain nursing notebooks of committee meeting minutes for all nursing campus sites.
  • Assist the nursing department prepare student files for the admissions committee and contact students who are interested in nursing who have undeclared majors.
  • Assist the nursing department prepare for open house and outside marketing events.
  • Assist with maintaining an updated website for the nursing department.
  • Assist with maintaining updated information on our social media sites.
  • Assist with faculty development activities.
  • Provide department tours as needed.
  • Assist in providing for photocopying needs of nursing faculty and staff
  • Assist in proctoring of course, ATI, and TEAS exams when needed.
  • Maintain nursing department full-time and adjunct faculty and staff rosters.
  • Maintain nursing student class lists and rosters.
  • Make copies of forms for faculty as needed.

Input course evaluation per course and instructor. Print out the individual reports.

Required Education and Experience:

  • Bachelor’s degree or higher will give you an advantage.
  • You will be able to share examples of how you’ve excelled in your roles during the past two years.
  • If you have basic knowledge of university academic rules and regulations, you will further separate yourself from the competition.
  • Must be able to meet deadlines in a timely manner.
  • Must work well with employees at all levels of the University, in addition to students and other customers.
  • Must be able to hand situations with tact, persuasiveness and diplomacy.
  • Ability to work some evenings and weekends as needed.
  • Ability to travel, both to local campuses and to community events as needed.
