    The University Registrar is responsible for the oversight and management of the Office of the Registrar’s operation, budget, planning, personnel and technology. This includes training, supervising and developing a staff committed to excellence; overseeing the academic records of the institution; and monitoring academic policies, procedures and curriculum while ensuring compliance with all federal, state and institutional regulations related to registration and enrollment.  In addition, the University Registrar leads collaborative efforts to address problem areas and strategic planning for future enhancements to University systems and processes. Finally, the University Registrar is responsible for developing, enhancing, maintaining and effectively utilizing the institution’s academic information infrastructure and technologies.


    The University Registrar will be responsible for the supervision of the Campus’s Office of Registrar. Working collaboratively with University Program Directors and Campus Deans, the University Registrar will responsible for creating and publishing the University’s course schedule. Additional responsibilities will include the complete management of transcript evaluation and developing innovative technological systems and process for management of transcript evaluations. The University Registrar will be responsible for ensuring the integrity, accuracy and security of all academic records of current and former students, as well as performing enrollment and degree verifications. The University Registrar will report directly to the Vice Provost of Accreditation and Licensure. As a University Administration position, the University Registrar will be expected to work closely with other University Administration Offices, including Compliance, IE/IR, IT, and the University Program Directors.



    Essential Job Functions:


    • Ensure the integrity, accuracy, and security of all academic records of current and former students; 
    • Perform enrollment and degree verification
    • Support the academic services and functions of the campus/college in cooperation with the college faculty and administration and the Office of the University Registrar.
    • Develop and publish the schedule of classes and final exam schedule by providing a point of review for problems and ensuring resolution before publication.
    • Supervise and manage academic records.
    • Provide data in support of day-to-day operations as well as data analysis in support of academic and administrative decisions.
    • Assist campus leaders in interpreting, communicating, and implementing policies and procedures that ensure compliance with University, State, and Federal policies and procedures related to student records, including the Family Educational Rights and Privacy Act (FERPA).
    • Supervise Registrar staff members.
    • Oversee student academic actions and facilitate communications and relationships between administrative and academic units.
    • Oversees areas of Data Reporting, Compliance, Document Imaging Technology, and Analytics to support data needs of school liaisons, academic departments and other constituents on campus.
    • Designs and implements a collaborative infrastructure and culture to support stakeholders across campus.
    • Oversees effective communication and change management processes to drive improvements in enrollment tracking and reporting, registration, operations audits, postgraduate tracking and licensing and other essential services.
    • Develops strategies to design and implement practices that continue to improve the Office's ability to meet the needs of students, faculty, staff, and other clients in a timely and efficient manner.
    • Evaluate and determine transfer, articulation, and military hours; manage the credential application and awarding process of degrees, diplomas and certificates.
    • Collaborate with faculty and academic administration to provide assistance with records procedures and processes.
    • Provide guidance with financial aid SAP plans of action. Outreach to near-completers and related manual degree audits. 
    • Prepare commencement list and assist coordinator of commencement services.
    • Provide customer service to all students, staff, and faculty; advise students on academic plans, degree audits, degree requirements, and transfer credit.
    • Maintaining accurate paper and electronic student files and official documentation
    • Responsible for all activities, functions and processes of the Office of the Registrar.
    • Facilitate all planning and implementation of the Office of the Registrar’s goals, objectives, strategic plans, and assessments.
    • Hire, train, manage and develop a staff committed to excellence.
    • Provide strategic leadership and demonstrate collaboration in the evaluation, development and enhancement of policies and procedures that are both compliant and effective while reducing complexity and promoting efficiency.
    • Maintain and monitor the database for student records, curriculum management and registration, in accordance with University policies, the guidelines of the American Association of Collegiate Registrars and Admissions Officers (AACRAO), the requirements of accrediting agencies, federal and state laws and the Family Educational Rights and Privacy Act (FERPA)
    • Plan and collaboratively facilitate academic registration, course scheduling, classroom scheduling, degree and honors awarding and transfer credit evaluation and articulation.
    • Analyze academic space usage and work with faculty to determine emerging needs.
    • Manage research and facilitate enhancement of student information systems, scheduling software, and other available technologies.
    • Adopt flexible technical solutions, as appropriate, in support of continuous improvement of operations.
    • Collaborate with other student enrollment management related offices including Admissions, Advising, Retention and Data Analytics, Financial Aid and Accounts Receivable.
    • Support the Compliance Office and Campus Registrars with degree awarding processes, the editing and maintenance of the University catalogs and various handbooks.
    • Act as a leading member of the Commencement planning committee.
    • Serve on University committees as assigned..
    • Will be responsible for other duties as assigned.

    Required Qualifications:


    • A bachelor's degree required, masters degree preferred
    • Four years of progressively responsible experience in higher education or a related field
    • Expertise in Registrar's office best practices/policies, compliance, student systems and maintenance preferred
    • Strong understanding of the Family Education Right to Privacy Act (FERPA) as it relates to student records
    • Strong understanding of the USDOE regulations and guidelines concerning student enrollment reporting
    • Proven ability in leading, motivating, and collaborating with leadership
    • Excellent communication, planning, and problem solving skills
    • Proven commitment to quality service and student advocacy
    • Demonstrated ability to effectively lead, supervise, train, and develop staff
    • Technologically proficient to serve as an advocate for technology, encouraging continual review of office procedures and processes
    • Strong knowledge of general office and records management procedures in addition to experience with on-line databases to capture student records applications is essential.
